We are a criminal defense law firm that has been in this community for the past 55 years. We are seeking a highly organized and detail-oriented assistant to join and support our team.
Job Title: Bilingual Administrative Assistant (Spanish/English)
This role requires full fluency and biliteracy in Spanish and English, strong administrative capabilities, and confidence working both independently and as part of a team.
The ideal candidate enjoys helping others, stays organized under pressure, and is committed to creating a supportive and welcoming experience for clients.
Key Responsibilities:
- Serve as first point of contact by handling receptionist duties such as greeting clients, answering calls and directing inquiries.
- Communicate with clients in both Spanish and English, explaining processes and ensuring they feel informed, comfortable, and supported.
- Handle sensitive and confidential information with the utmost discretion.
- Administrative assistant to business manager.
- Provide administrative support to other team members to ensure smooth day-to-day office operations.
- Manage attorney calendars, court dates, deadlines, and appointments with accuracy.
- Assist with client intake, case file setup, and ongoing file management.
- Maintain organized physical and electronic case files in compliance with legal and confidentiality standards.
- Request or subpoena, track and maintain various types of records for clients.
- Request DMV hearings, request continuances, subpoena officers and records, track and maintain all records received, assist clients with licensing issues.
- Order supplies, run errands—bank, courthouse, etc.
- Track cases in the courts’ websites.
Qualifications:
- Fluent and biliterate in Spanish and English (required). Must be able to translate written documents from Spanish to English and vice versa.
- Prior experience in a law firm or legal environment strongly preferred, but not required.
- Familiarity with legal terminology, court procedures, and document preparation strongly preferred, but not required.
- Strong communication skills with a professional, client-centered approach. Ability to interact with clients, attorneys, court personnel and experts.
- Strong organizational skills, attention to detail and ability to move quickly from one task to another in a fast-paced environment.
- Strong proficiency in Microsoft Office Suite and other office programs.
- Ability to easily maneuver in different computer apps and programs and learn new computer apps/programs easily.
- Ability to prioritize tasks, meet deadlines, and manage multiple tasks simultaneously.
- Ability to work independently as well as collaboratively.
Pay and Benefits:
- Full-time: Monday through Friday 8am to 5pm
- Salary commensurate with experience: Range is from $20/hr to $25hr
- 10 hours of PTO earned every month
