Role overview
We’re looking for a detail-oriented Part-time Bookkeeper to support day-to-day finance operations and monthly closes across two legal entities (US and Mexico). You’ll handle AP/AR, payments, payroll coordination (employees and contractors), benefits and reimbursement management, banking and cash tracking, and basic close tasks – partnering closely with our external CPA firm(s) on reporting and compliance.
Responsibilities
Accounts Payable / Accounts Receivable & Payments
- Manage vendor bills and customer receipts in the accounting system (e.g., QBO).
- Set up vendors and collect tax forms (W-9/W-8BEN).
- Prepare and schedule ACH/wires (domestic and international), verify banking details, and track invoice status.
- Monitor AR, apply cash, and follow up on outstanding balances.
Payroll (US and Mexico)
- Coordinate US payroll with our provider (employees) and 1099 payouts (contractors).
- Liaise with local partners/providers in Mexico on payroll processing (e.g., CFDI Nómina via local systems), ensuring accurate inputs and documentation.
Banking and Treasury
- Perform daily cash monitoring, payment calendars, and simple FX or intercompany transfers (per instruction).
- Complete bank reconciliations and maintain clean cash ledgers.
Reporting and Compliance
- Support monthly close (reconciliations, accruals/deferrals as directed), maintain a tidy GL, and prepare close support.
- Consolidate key figures for US + MX and assemble CPA packages (P&L, Balance Sheet, Cash Flow, schedules).
- Assist with year-end prep and audit/CPA requests.
- Keep documentation current (SOPs, vendor files, tax forms) and maintain excellent record hygiene.
- Communicate proactively with internal teams and external CPA partners.
What you will bring
- 3+ years of bookkeeping/accounting experience in SMB, tech, or SaaS (nice to have).
- Proficiency with QuickBooks Online (or Xero) and finance tools (e.g., Bill.com, Airbase/Ramp/Brex, Stripe, Wise, online banking portals).
- Solid grasp of AP/AR, bank recs, month-end basics (accruals/deferrals), and close support.
- Experience working with CPA guidance and US GAAP basics (within a bookkeeper scope).
- Languages: Russian – required; English – required (professional written & spoken). Spanish – a plus (okay to use online translation tools with MX systems).
- High integrity, attention to detail, confidentiality, and reliable weekday morning (PT) availability.
Work setup and compensation
- Part-time, hybrid (primarily remote) with occasional office time in Westlake Village.
- Morning PT hours are mandatory (specific window agreed upon).
- Hourly compensation is competitive and commensurate with experience.
