Job DescriptionWe are looking for a dedicated and detail-oriented Executive Assistant to provide comprehensive support to executive leadership in Los Altos, California. This position requires exceptional organizational skills, effective communication abilities, and a proactive approach to managing tasks and priorities. As this is a long-term contract role, it offers a unique opportunity to contribute to the success of the organization while honing your administrative expertise.

Responsibilities:
• Maintain and organize executive calendars, ensuring seamless scheduling of meetings, appointments, and travel plans.
• Coordinate and prepare materials for meetings, including agendas, presentations, and follow-up on assigned tasks.
• Arrange and oversee travel logistics, such as booking flights, accommodations, and transportation.
• Draft, proofread, and edit documents and reports to ensure accuracy and professionalism.
• Manage filing systems, both digital and physical, for efficient retrieval of information.
• Provide support in utilizing project management tools and platforms to streamline workflows and enhance productivity.
• Conduct research and compile data to assist executives in decision-making processes.
• Assist in planning and executing team events, meetings, and special projects.
• Suggest and implement improvements to administrative processes for greater efficiency.
• Handle ad hoc tasks and assignments as needed to support organizational goals.• Minimum of 1 year of experience in administrative support or a similar role, preferably supporting executives.
• Proficiency in managing calendars and coordinating travel arrangements.
• Strong knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Excellent organizational skills with the ability to multitask and prioritize effectively.
• Strong written and verbal communication skills, with an attentive and approachable demeanor.
• Attention to detail and a commitment to maintaining confidentiality.
• Ability to adapt to changing priorities and solve problems proactively.
• Familiarity with project management tools or workflow automation platforms is a plus.
