Position Summary
The Contract Administrator is a cross-functional leader responsible for contract administration, vendor negotiation, bidding, estimating, and strategic sourcing. This role plays a critical part in ensuring the financial and operational success of construction projects by managing contracts, coordinating with vendors and internal departments, and maintaining strict adherence to timelines, budgets, and compliance requirements. Strong spreadsheet, data analysis, and communication skills are essential to excel in this position.
Main Tasks and Responsibilities
- Prepare, review, and manage all contracts, subcontracts, change orders, and commitment changes.
- Negotiate terms and pricing with subcontractors and vendors; facilitate bid processes and scope reviews.
- Prepare detailed line-item budgets ensuring consistency with project scope.
- Maintain accurate contract logs and procurement documentation, ensuring consistency with internal policies.
- Facilitate estimating activities, including material takeoffs, scope analysis, and proposal evaluations.
- Ensure accuracy and compliance in all contract documents aligning with company policies.
- Maintain strong relationships with subcontractors, vendors, consultants, and city agencies.
- Ensure subcontractors meet insurance, licensing, and contract requirements before mobilization.
- Facilitate timely and accurate processing of contracts.
- Assist with utility coordination and stakeholder communications.
- Act as a liaison between the field, design, architecture, accounting, procurement department, and executive team.
- Track project budgets, review invoices, and assist in financial forecasting as it relates to contracts and estimates.
- Maintain plan sets, filing systems, and contract administration documentation.
- Perform other duties as assigned.
Position Requirements, Knowledge, and Skills
- 3+ years of experience in contract administration and/or construction procurement.
- Bachelor’s degree in Business Administration, Construction Management, Architecture, or a related field preferred.
- Advanced proficiency in Microsoft Excel and Google Sheets or equivalent systems is required.
- Strong negotiation, organizational, collaborative, and time management skills.
- Familiarity with blueprint reading, estimation, and construction materials.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and work under pressure.
- Must have a valid driver’s license; ability to travel to project sites and vendors as needed.
- Notary license a plus.
Physical Expectations
- Ability to travel to meetings, offsite storage warehouse, events or exhibitions per department request.
- Ability to follow directions from a supervisor.
- Physical ability to visit various job sites and lift upwards to 50 pounds at a time.
