We are seeking an experienced and detail-oriented Probate and Trust Administration Paralegal to support attorneys in all aspects of estate administration, probate proceedings, and trust management. The ideal candidate is organized, professional, and able to manage cases from opening to closing with minimal supervision.

Key Responsibilities

  • Prepare, draft, and file probate documents, including petitions, notices, inventories, accountings, and required court forms.

  • Assist in the administration of estates and trusts, from initial intake through final distribution.

  • Communicate professionally with clients, beneficiaries, court staff, financial institutions, and other parties involved.

  • Manage deadlines and ensure compliance with state probate laws, court rules, and trust administration procedures.

  • Gather and organize financial records, asset information, and estate/trust documentation.

  • Maintain accurate case files, calendars, task lists, and tracking systems.

  • Coordinate appraisals, creditor notices, tax filings, asset transfers, and trust funding tasks.

  • Prepare correspondence, memoranda, client updates, and summaries for attorney review.

  • Assist attorneys with hearings, document preparation, and overall case management.

  • Perform general legal research related to estate, probate, and trust matters.

  • Answer incoming calls, schedule appointments, and assist with client intake as needed.

  • Assist with billing, time entry, and basic administrative tasks to support office operations.

Skills & Qualifications

  • 2–5+ years of probate, estate planning, or trust administration experience preferred.

  • Strong understanding of probate procedures, trust administration processes, and court filing requirements.

  • Excellent written and verbal communication skills.

  • High attention to detail and strong organizational abilities.

  • Proficiency with legal software, case management systems, and Microsoft Office.

  • Ability to manage confidential information with professionalism and discretion.

  • Strong time-management skills with the ability to juggle multiple cases and deadlines.

  • Paralegal certificate or relevant training (preferred but not required).

  • Experience with scheduling, phone communication, and billing is a plus.
