California University of Science and Medicine (CUSM) is seeking a dedicated and student-centered Student Success Program Manager to join our Office of Student Success. Join us in shaping the next generation of physicians through innovative advising, student support, and a commitment to excellence in medical education.

This position is available immediately and will remain open until it is filled. The salary range is dependent on education, job-related knowledge, skills, and experience; the budgeted annual salary range is $65,000 to $85,000. Applicants must be able to work on campus three days a week.

Position Purpose

Under the general direction of the Director of Student Success, the Student Success Program Manager (program manager) plays a pivotal role in supporting the personal, academic, and career development of medical students throughout their educational journey. The program manager will lead career advising services, residency application preparation, and strategic student career planning for specialty selection and alternative careers in medicine, while fostering a diverse, equitable, and inclusive learning environment. By building strong relationships with students, faculty, staff, and institutional stakeholders, the program manager ensures students are equipped with the guidance, resources, and confidence needed to thrive in medical school and transition successfully into residency training. The program manager is student-centered, equity-driven, and deeply committed to cultivating a sense of belonging and achievement for all learners.

Essential Function

45% Career and Professional Development

  • Empower and guide students in setting and advancing their achievement of effective, individual-driven career and professional goals.
  • Implement career coaching and career support systems for students throughout the MD curriculum that align with the AAMC “Careers in Medicine Advising” model and LCME standard 11 for Career Advising.
  • Design and provide career advising services, including but not limited to one-to-one intervention counseling, early career exploration workshops, residency application preparation sessions, review of residency application documents, design of career and residency advising materials for faculty residency navigator (FRN) and faculty advisors programs, electronic/web materials, newsletters, etc.
  • Oversee career advising services for preclinical students as well as match preparation services for clerkship phase students.
  • Provide tracking, follow-up, and case management for all students.
  • Assess the effectiveness of the career services provided and implement changes as needed.
  • Coordinate planning and execution of the Supplemental Offer and Acceptance Program (SOAP) week.

25% Student Support and Well-Being

  • Provide students with resources and a supportive community of advisors, mentors, and staff to promote their development and transition from medical school to residency training.
  • Cultivate an environment of thriving and joy for students, especially those who are historically marginalized, minoritized, excluded, and/or economically or educationally disadvantaged, through support initiatives core to medical education.
  • Articulate and promote the benefits of diversity to achieve excellence in medical education, health care delivery, and the physician workforce using equity practice.
  • Refer students to appropriate academic counseling and support services when needed.
  • Refer students for counseling when needed.

20% Institutional Collaboration and Relationship Building

  • Collaborate and build relationships with stakeholders and entities that serve and interface with medical students.
  • Collaborate with the Office of Medical Education (OME) and the Assistant Dean for Transition to Residency in the creation of chair letters for residency applications.
  • Responsible for reporting on internal student satisfaction for career/residency programs and services, as well as the use of programs and services. Interpret AAMC student survey results to recommend program enhancements.
  • Monitor and identify high-risk students needing additional career counseling intervention and determine appropriate tools and resources. Develop Questionnaires, surveys, and other tools for the collection of specialty interest and career advising data.
  • Create the annual match report and maintain historical institutional data on match outcomes.

5% Leadership

  • Serve on the Medical Student Performance Evaluation (MSPE) committee; provide guidance on MSPE policies and best practices from the AAMC.
  • Develop reports and materials for students and advisors to support strategic advising on competitive eligibility; evaluate current trends in the residency match. Stay informed about national trends.
  • Lead institutional compliance efforts with NRMP and other match program policies and match agreements.
  • Manage the residency application systems, serving as an institutional designee for respective systems.
  • Support the Office of Student Affairs.

5% Other Duties as Assigned

Required Educational Qualifications

Bachelor’s degree in a related field and a minimum of five (5) years of experience related to medical graduate students in career guidance and residency preparedness, and/or an equivalent combination of education and experience may be considered. Additionally, a minimum of three (3) years of experience in student advising of medical students or graduate/professional education, as well as familiarity with the residency application process, is required.

  • Demonstrated experience with academic programming, classroom teaching, online teaching, and/or program delivery, basic assessment skills, and outreach events.
  • Knowledge of medical student career pathways, especially ERAS and the Match, and all associated processes and policies.
  • Strong analytical skills, active listening, and critical thinking skills to conduct analysis and develop recommendations.
  • Ability to maintain confidentiality; ability to recognize sensitive information and handle information with care and tact.
  • Ability to relate to students who have experienced structural barriers, such as racism and income inequality, in educational settings.
  • Capacity for giving and receiving feedback and implementing continuous quality improvement processes.
  • Experience with case management, student tracking systems, or student data tools.
  • Ability to guide processes to closure.
  • Ability to work on multiple tasks simultaneously and within tight timelines.
  • Ability to take initiative and ownership of projects.
  • Demonstrated experience working independently and as part of a team.
  • Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact.
  • Flexibility in accommodating work hours, including preparation elements, often delivered online on weekdays, between 4-7pm.
  • Familiarity with the Family Educational Rights and Privacy Act (FERPA) (20 U.S.C. § 1232g; 34 CFR Part 99). This law applies to all schools that receive funds under an applicable program of the U.S. Department of Education.
