Julie A. Goldberg is the founder and principal of Goldberg & Associates, P.C. Position Summary

We seek a high-reliability, detail-driven Office Assistant to serve as the operational backbone of our Los Angeles office. In this on-site role, you will own day-to-day office operations, client reception and hospitality, vendor and facilities coordination, supplies and billing support, and mail/shipping logistics. Under attorney supervision, you will also place USCIS service requests and submit/track FOIA requests. The position requires sound judgment, initiative, and end-to-end follow-through-you anticipate needs, triage competing priorities, and close loops without hand-holding. This is an exceptional opportunity for an operations professional who thrives in a fast-moving, high-exposure immigration practice and seeks meaningful responsibility. You will collaborate daily with attorneys and paralegals across our multi-office platform (Los Angeles, Michigan, New York, Cairo, Djibouti, and the Philippines) and gain practical visibility into USCIS, EOIR, BIA, and federal litigation workflows. High performance is recognized with expanded responsibility and ownership of office systems.

**This is an administrative/operations position. All legal work is performed under the supervision of licensed attorneys.

Key Responsibilities

Front Office & Client Service

  • Greet clients and visitors, manage reception, conference room schedules, and hospitality.
  • Professionally answer and route calls; triage urgent messages; maintain a high-touch client experience.

Office Operations & Facilities

  • Own supplies procurement, equipment upkeep (printers/scanners), and vendor relationships (cleaning, IT, copier, utilities).
  • Process invoices and routine office bills; coordinate with firm leadership/bookkeeping on payments.
  • Maintain organized physical and digital filing systems; ensure confidentiality protocols are followed.

Mail, Shipping, and Errands

  • Process daily incoming/outgoing mail; log receipt notices; prepare certified/overnight mailings (USPS/FedEx/UPS).
  • Courier runs to courts, agencies, and the post office; bank deposits as requested.
  • Maintain postage, shipping supplies, and chain-of-custody documentation for filings.

Case Support (Under Attorney Supervision)

  • Place USCIS service requests, follow up on case status inquiries, and document outcomes.
  • Prepare, submit, and track FOIA requests (USCIS/CBP/ICE) including receipts and response deadlines.
  • Generate cover letters, basic forms, and mailing packets; maintain accurate logs and spreadsheets.

Administrative Support

  • Calendar tasks and internal deadlines as directed; assist with travel arrangements and office events.
  • Perform quality checks (signatures, enclosures, addresses) before filings and mailings.

Minimum Qualifications

  • 2+ years of administrative/office coordinator or front-desk experience (law firm or professional services preferred).
  • Impeccable reliability, punctuality, and attention to detail; demonstrated ownership of tasks from start to finish.
  • Excellent written and verbal communication skills; professional client-facing demeanor.
  • Strong technology skills: Microsoft 365 (Word, Excel, Outlook), Google Workspace, Adobe Acrobat, Zoom; fast typist with accurate data entry.
  • Valid driver's license, reliable personal vehicle, and current insurance; comfortable with frequent local errands.
  • Ability to work overtime (evenings/weekends) on short notice to meet deadlines.
  • Ability to lift/move up to 25 lbs. (paper boxes/supplies).

Preferred Qualifications

  • Experience in a law firm, immigration practice, or high-volume professional services environment.
  • Familiarity with basic bookkeeping or billing tools (e.g., QuickBooks) and vendor management.
  • Exposure to case-management software (e.g., LawLogix, eImmigration, Clio) is a plus.
  • Experience placing USCIS service requests and processing FOIA submissions.
  • Bilingual (Arabic and/or Spanish strongly preferred; other languages welcomed).

Work Schedule & Environment

  • On-site in our Los Angeles office; standard business hours (9am - 6pm PST with one hour lunch from 1pm to 2pm) with open availability for overtime as needed.
  • Fast-paced, deadline-driven environment where professionalism and discretion are mandatory.

Compensation & Benefits

  • Hourly Rate: $28-$30 an Hour + overtime.
  • Benefits: $250 monthly healthcare stipend, dental/vision, PTO/paid holidays,401(k)
