HEALTH CLERK


OUR MISSION

THE POSITION

The Health Clerk plays a vital role in maintaining a healthy school environment by providing front-line care for students with medical needs, managing student health records, and supporting the smooth operation of the front office and campus, under the general supervision of the School Operations Manager.


THE RESPONSIBILITIES

The health clerk’s essential responsibilities include, but are not limited to:

Student Health

  • Maintain a healthy and safe environment for students and staff by providing information related to safety issues, head lice, hand-washing practices, and other health-related matters

  • Support the tracking and reporting of communicable diseases and ensure proper notification to local health authorities when required.

  • Administers first aid; with assistance and direction, establish and maintain daily documentation of specialized physical health care services and procedures which may include administration of medication

  • Updates and maintains medical records; initiates and completes reports and records, such as accident and incident reports

  • Serve as the schools COVID-19 Coordinator and perform covid testing, case reporting, provide isolation guidance to families, provide close-contact steps to staff/scholars

  • Provide and manage Independent Studies Agreements due to medical and other admin approved reasons

  • Contact appropriate parties for health histories as needed for IEPs, 504s, healthcare plan development, and forward to SPED team for review

  • Assist with obtaining appropriate signatures for medication administration and health care plan

  • Work with school personnel and outside organizations to exchange information, refer students, report suspected child abuse, coordinate activities and resolve other health-related issues and concerns

  • Assist with mandated vision/hearing screenings, data entry and follow-up regarding failed tests, as well as referrals

  • Perform specialized physical health care services for students including suctioning, blood sugar testing, and medication administration

  • Monitor and document student immunization compliance and follow up with families to ensure students meet school entry health requirements.

  • Ensure compliance with state and federal health regulations, including FERPA, HIPAA, and other student health privacy laws.

  • Provide direct support to scholars with disabilities who require assistance with toileting needs, including but not limited to transferring to and from the restroom, ensuring hygiene and safety, and implementing individualized toileting plans as outlined in students' IEPs or health care plans. Work closely with the Special Education team and families to ensure dignity and appropriate accommodations are provided.


Front Office Management

  • Provide exceptional customer service to all stakeholders and visitors who interact with the front office

  • Ensure front office is highly organized, welcoming, and structured efficiently for visitors, staff, and students

  • Support family communications and develop meaningful relationships with students and families

  • Manage phones and use systems to communicate information to staff, students, and families

  • Manage key front-office systems including visitor management, mail and package deliveries, and faxes

  • Support late-arriving students with signing-in and receiving a pass to go to class

  • Supports school attendance process and maintenance of attendance records

  • Prepares and sends school specific family communication

Campus Operations

  • Support execution of campus arrival and dismissal procedures

  • Support printing and distribution of materials, including report cards, awards, testing materials, and posters

  • Support maintenance of student information system (immunization, health alerts)

  • Oversee and manage student cumulative records, ensuring proper organization, secure storage, and compliance with state regulations regarding student files.

  • Assist in preparing health-related compliance reports for school administration, oversight agencies, and external audits.

  • Ensure timely and accurate record transfers for incoming and outgoing students, coordinating with schools and districts as needed.

  • Support with other operational duties as needed


Contribute to the School Community

  • Seek opportunities, both individually and through school-based initiatives, to build strong and collaborative relationships with faculty, staff, families and scholars.

  • Actively engage in School and externally provided professional development.

  • Prepare for and attend up to five (5) evening or weekend, scholar, parent or other school events that do not exceed more than three (3) hours per event, including Report Card Nights, Open House, Scholar Exhibitions, etc.

  • Serve actively on at least one (1) School- established action committee during the school year.

  • Attend all faculty and professional development meetings.

  • Maintain consistent and meaningful communication with parents.

  • Maintain accurate, current records for attendance, coursework, and submit timely completed report cards and school-wide assessment records.

THE QUALIFICATIONS

Required:

  • Medical Assistant Certification

  • Valid Certification by American Heart Association, American Red Cross or school approved provider for First Aid, Audlt/Child CPR (Level C) and AED. (Online certifications will be accepted from these vendors as long as a hands-on-skills assessment is completed)

  • Strong commitment to Soleil Academy’s mission and vision

  • Openness to feedback and desire to continue development as a professional

  • Excellent verbal, written, and organizational skills

  • DOJ/FBI Clearance

  • TB Clearance

  • Spanish proficiency: Fluent


Highly preferred:

  • Two Years Experience Providing Health Services to Children and/or working in a school office

  • Bachelor’s degree

  • COVID-19 vaccination (Up to date)


Compensation and Benefits

  • Compensation: Soleil provides competitive salaries, which are reviewed every three years. Based on relevant prior work experience, our hourly range for this role is $20.00 - $28.37. Please click HERE for more information on our salary schedule.
