Job DescriptionAbout the Role

We are seeking a detail-oriented Administrative Assistant to join our Quality Department. In this vital role, you will support the Quality Assurance Director and the entire Quality team by managing key documentation, coordinating quality control activities, and preparing shipment packages that ensure our products meet rigorous standards. If you have experience in a manufacturing or quality environment, strong organizational skills, and a commitment to accuracy, this could be the perfect opportunity for you.

Key Responsibilities

  • Prepare and create shipper packages and detailed reports to support product shipments

  • Maintain and organize central engineering drawings and master quality files within established systems

  • Distribute, track, and recall important documents and drawings as needed

  • Assist with Quality Control processes and enter corrective action data into systems

  • Maintain certifications and quality management system (QMS) documentation

  • Compile and input monthly calibration reports and manage requisitions for calibration and equipment services

  • Follow and contribute to the department’s continuous improvement initiatives

  • Collaborate effectively with other departments such as Engineering, Purchasing, Production, and Receiving

Qualifications

  • 3-5 years of administrative experience in a quality assurance or manufacturing environment, or equivalent experience

  • High school diploma or GED (or equivalent experience)

  • Working knowledge of ISO 9000 standards and aerospace quality codes is highly preferred

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

  • Strong attention to detail and ability to meet critical deadlines

  • Ability to work independently with minimal supervision, while being a collaborative team member

  • Excellent communication skills and sensitivity to diverse perspectives

Physical Requirements & Work Environment

  • Primarily office-based role with standard computer setup (dual monitors)

  • Approximately 75% of the workday involves sitting and data entry

  • Occasional lifting of light items (5-10 lbs) and moving materials on carts

  • May be exposed occasionally to moving mechanical parts, chemicals, or airborne particles—safety procedures are followed strictly
