We’re looking for a proactive, resourceful, and highly organized Legal/Executive Assistant to support the CEO of a dynamic, family-owned organization. This position is ideal for a self-starter who anticipates needs, takes initiative, and finds solutions before problems arise.
In this fast-paced role, no two days are the same. You’ll balance multiple priorities, manage sensitive information, and keep both business and family operations running smoothly. Your ability to bring structure, clarity, and follow-through will ensure nothing is missed.
You’ll provide executive-level administrative support while assisting with legal and contract documentation. The ideal candidate combines the polish of an experienced Executive Assistant with the precision of a paralegal — managing communications, documents, and projects across all aspects of the CEO's work and priorities.
Key Responsibilities:
- Manage calendars, meetings, and travel arrangements for the CEO (business and personal).
- Assist with legal documents, contracts, filings, and compliance tracking.
- Draft, proofread, and edit correspondence, agreements, and internal communications with accuracy and professionalism.
- Maintain detailed trackers and secure records for contracts, filings, and executive approvals.
- Liaise with external counsel, vendors, and internal teams regarding documentation and follow-ups.
- Coordinate and manage a wide range of tasks and communications on behalf of the CEO, ensuring timely follow-up and organized documentation across multiple areas of responsibility.
- Maintain organized digital and physical filing systems for legal and executive records.
- Research and summarize information for executive review; prepare concise briefs and recommendations.
- Establishes and maintains efficient processes, documentation, and systems to streamline executive and office operations.
- Process and reconcile business and personal expenses accurately and promptly.
- Handle confidential communications and ensure professional, timely follow-through.
Qualifications:
- Minimum 5 years of experience as an Executive Assistant, Legal Assistant, or Paralegal supporting senior leadership.
- Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred.
- Bilingual in Spanish is required.
- Experience with contracts and legal documentation workflows.
- Excellent written and verbal communication skills, with meticulous attention to detail.
- Proficiency in Microsoft Office 365; adept at managing multiple projects simultaneously.
- Demonstrated discretion, professionalism, and sound judgment in handling sensitive information.
- Proactive, organized, and resourceful problem-solver who anticipates needs and ensures completion.
- Upholds professional standards by communicating with integrity, maintaining confidentiality, and refraining from gossip.
Work Environment:
- Onsite role.
- Prolonged periods at a desk/computer; occasional lifting up to 15 lbs.
