Overview
The Personal Injury Pre‐Litigation Supervisor oversees the team responsible for managing cases from intake through settlement negotiations, prior to the filing of a lawsuit. This role ensures that clients receive exceptional service, cases progress efficiently, and the firm’s pre‐litigation department operates with consistency, accuracy, and strategic focus. The supervisor provides leadership, mentorship, and quality control while collaborating closely with attorneys, case managers, and administrative staff.
Key Responsibilities
Team Leadership & Management
- Supervise, train, and mentor pre‐litigation intake specialists, case managers, legal assistants, and support staff.
- Set performance expectations, monitor KPIs, and conduct regular coaching and evaluations.
- Develop workflows, assign caseloads, and ensure adequate coverage during peak periods.
- Foster a positive, accountable, and client‐centered team culture.
Case Oversight & Strategy
- Oversee the lifecycle of pre‐litigation cases, ensuring timely movement from intake through demand and negotiation.
- Review case files for completeness, liability analysis, medical documentation, and damages assessment.
- Provide guidance on case strategy, negotiation readiness, and escalation to litigation when appropriate.
- Ensure demand packages are accurate, persuasive, and supported by evidence.
Client Experience & Communication
- Support staff in maintaining consistent, empathetic communication with clients.
- Address escalated client concerns and ensure issues are resolved promptly and professionally.
- Ensure clients understand the pre‐litigation process, treatment expectations, and case milestones.
Medical & Records Coordination
- Oversee the collection and organization of medical records, bills, wage loss documentation, and other evidence.
- Ensure staff are tracking treatment progress and following up on gaps or delays.
- Confirm that medical summaries, treatment timelines, and damages calculations are accurate and up‐to‐date.
Compliance & Quality Control
- Ensure all case activity complies with state laws, ethical rules, and firm policies.
- Maintain high standards of documentation, file organization, and communication.
- Monitor deadlines, statutes of limitations, and required filings to prevent case delays or errors.
Reporting & Process Improvement
- Generate regular reports on caseloads, productivity, settlement metrics, and team performance.
- Identify workflow inefficiencies and implement process improvements.
- Collaborate with firm leadership to refine pre‐litigation procedures and best practices.
Qualifications
Required
- 3 – 5 years’ experience in personal injury pre‐litigation case management & supervision.
- Strong understanding of personal injury claims, liability analysis, medical treatment cycles, and damages evaluation.
- Prior experience in a high‐volume plaintiff‐side practice.
- Proven leadership skills with experience managing or mentoring staff.
- Excellent communication and conflict‐resolution abilities.
- Strong organizational skills and the ability to manage multiple priorities.
- Experience with case management software and CRM systems.
Preferred
- Bilingual abilities (Spanish/English) highly valued.
