Job Title: Surgery Scheduler – Surgery Operations
Location: Santa Monica, CA
Status: Full-Time | Day Shift (Monday–Friday, 8:00 AM–5:00 PM)

Overview
We are seeking experienced Surgery Schedulers to join our administrative team supporting surgical operations. The Surgery Scheduler is a key member of the healthcare team responsible for coordinating surgical cases, managing pre- and post-operative appointments, and ensuring all patient and provider needs are met efficiently. This role requires a detail-oriented professional with strong communication and organizational skills who can manage multiple surgical schedules and maintain a smooth workflow between departments.
Minimum Requirements
- Education: High School Diploma or GED
- Experience: Minimum of 1 year of surgery or procedure scheduling experience.
- Skills: Strong communication, attention to detail, and multitasking in a fast-paced environment
Preferred Qualifications:
- Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA)
- Familiarity with electronic health record (EHR) systems and insurance authorization processes
Key Responsibilities
- As a Surgery Scheduler, coordinate and schedule all surgeries, including pre-op and post-op appointments
- Verify insurance coverage, obtain procedure authorizations, and secure necessary medical clearances for surgical patients
- Schedule and confirm all pre-operative studies, diagnostic testing, and operating room times
- Review surgery details and educational requirements with patients as directed by the physician
- Serve as the primary contact and liaison between the patient, provider, and clinical teams to ensure seamless surgical coordination
- Ensure all special equipment and materials requested by physicians are available and confirmed before the procedure
- Respond to patient inquiries, provide excellent customer service, and escalate issues to supervisors as needed
- Maintain and update patient charts, demographics, and insurance information to ensure scheduling accuracy
- Manage referrals, authorizations, and physician correspondence, including calendars, forms, and documentation
- Work collaboratively with billing and administrative staff to ensure all required surgical documentation is submitted correctly
- Communicate with workers’ compensation adjusters and case managers to track authorizations and necessary records
- Provide additional administrative or clinical support as needed to maintain departmental efficiency
- Vaccination Requirements: flu vaccine is required (no exemptions allowed)
