Metis is seeking a Project Coordinator to support our NASA Aeronautics Research Technology and Simulation (ARTS)contract with the NASA Ames Aeronautics Directorate. The purpose of ARTS contract is to provide mission critical support for researchers with high-fidelity environments to conduct simulated flight, Air Traffic Management (ATM) research, and advance the state-of-the-art simulation technology. Researchers leverage the ARTS contract to investigate a variety of topics ranging from the design of new aircraft guidance and control systems to the human factors implications of new or existing flight deck displays, airspace operations, air traffic control and automation.

Position Description: This role involves maintaining the organization and preservation of important records, ensuring they are easily accessible for future reference. It plays a key part in supporting the management of project controls to maintain schedule performance and handles changes to the project schedule in a controlled manner. Additionally, the role involves providing documentation and action capture, assessing and prioritizing project needs and timelines, and managing the schedules of the Project Manager (PM) and Deputy Project Managers (DPMs). Key responsibilities include capturing and following up on important notes and actions, and coordinating with technical workstream leads to track their needs.

Responsibilities:

  • Organize and Preserve Records: Ensure that all important records are systematically organized and preserved for easy access and future reference. This involves creating and maintaining a filing system that allows for quick retrieval of documents.
  • Support Project Controls Management: Assist in the management of project controls to ensure that the project schedule is maintained. This includes monitoring schedule performance and identifying any deviations from the plan.
  • Documentation and Action Capture: Provide comprehensive documentation and action capture within the project management office. This involves recording meeting minutes, action items, and decisions made during project meetings.
  • Assess and Prioritize Project Needs: Evaluate and prioritize tasks based on the project's needs and timelines. This requires a thorough understanding of the project's objectives and deadlines to ensure that critical tasks are addressed promptly.
  • Handle Schedule Changes: Manage changes to the project schedule in a controlled manner. This involves updating the schedule to reflect any changes and communicating these changes to all relevant stakeholders.
  • Manage Schedules of PM and DPMs: Oversee the schedules of the Project Manager and Deputy Project Managers. This includes coordinating meetings, appointments, and other activities to ensure their time is used efficiently.
  • Capture and Follow Up on Key Notes and Actions: Record key notes and actions during project meetings and follow up to ensure that all action items are completed. This helps in maintaining accountability and progress tracking.
  • Coordinate with Technical Workstream Leads: Work closely with technical workstream leads to track their needs and ensure that their requirements are met. This involves regular communication and coordination to support the technical aspects of the project.

Education/Experience Requirements:

  • Bachelor’s degree
  • Minimum of 2 years relevant experience in management and administration

Required Skills:

  • Proficient in Microsoft office suite and Google Analytics
  • Strong organizational skills
  • Ability to write effectively and concisely
