LHH has partnered with a great firm seeking a detail-oriented and proactive Litigation Secretary with expertise in litigation and education law to join their team. The ideal candidate will have a strong understanding of court procedures, document management systems, and legal calendaring, along with excellent communication and organizational skills.
Primary Responsibilities
Litigation & Legal Support

Submit legal filings across California state courts, including Los Angeles Superior Court, OAH, and PERB.

Use platforms like One Legal, Case Anywhere, and FileandServeXpress for electronic filing and document service.

Draft and edit legal documents, letters, memos, and emails from written notes and audio transcription.

Track and manage deadlines for pleadings, discovery, motions, appeals, and hearings.

Compile exhibits and supporting materials for court submissions, hearings, mediations, depositions, and investigations.
Administrative Duties

Review and correct documents for grammar, spelling, and formatting in line with firm standards.

Process incoming mail, faxes, and emails; save and distribute using the firm’s document management system.

Coordinate attorney schedules, meetings, and calls.

Maintain calendars to ensure timely follow-up on key dates and legal deadlines.

Arrange travel accommodations including flights, hotels, and ground transportation.

Prepare expense reports and check requests for attorneys.

Provide backup support for phone coverage and filing as needed.
Client & Internal Coordination

Assist with marketing efforts including assembling pitch materials, updating attorney bios, and creating presentations.

Organize client workshops and training sessions.

Follow internal procedures for opening new matters, assigning client numbers, and handling billing processes.
Qualifications

High school diploma required; bachelor’s degree preferred.

Minimum 3 years of experience as a legal secretary in litigation, education law, transactional, or bankruptcy practices.

Proficient in Microsoft Office (Word, Excel, PowerPoint).

Familiarity with document management systems such as iManage.

Typing speed of at least 70 WPM.

Strong multitasking and time management skills.

Excellent written and verbal communication abilities.

Skilled in Adobe Acrobat for redacting and editing documents.

Comfortable conducting online research for legal and administrative tasks.

Knowledge of local and state court rules and filing procedures.

Reliable transportation for occasional document deliveries (e.g., FedEx).

Consistent attendance and punctuality are essential.
