Title: Customer Contract Administrator
Location: Irvine, CA
Rate: $31.60/Hr
Note: This position is a contract on W2, and is NOT open to C2C.
Summary
Provides administrative and contracting support to the APM Medical Affairs organization, with potential to impact company image and effective relationship management.
Key Responsibilities
- Manage and track all Global departmental invoice payments, including tracking and updating reports on invoices paid and ensuring data accuracy
- Manage and track all Global ISS monitoring equipment, including tracking and updating reports on invoices paid and ensuring data entry accuracy
- Manage and track all Request for Authorizations (RFAs) required by Compliance Department
- Assist with the tracking and management of all contracts generated by APM Medical Affairs, including tracking and updating reports on contracting status, ensuring data accuracy
- Manage schedule and calendar of ISS executive committee and Grant Awarding Rewarding Committee with attention to accuracy and detail
- Create accurate and reliable reference PowerPoint slides of ISS committee meeting based on the provided template.
- Assist planning of all off-site APM Medical Affairs Department meetings
- Provide logistical support for consulting agreements
- Other incidental duties, including filing, as needed or requested
Qualifications
- Proven Administrative and Contracting Support Experience
- Advanced Proficiency in Microsoft Office Suite
- The role centers around managing invoices, contracts, RFAs, and committee logistics. Demonstrating hands-on experience in these areas is essential.
- Experience with invoice tracking and reporting
- Familiarity with contract lifecycle management
- Exposure to compliance documentation (e.g., RFAs)
- Calendar and meeting coordination for executive-level committees
- Excel: Data tracking, pivot tables, VLOOKUP, reporting
- PowerPoint: Slide creation using templates, summarizing meeting content
- Outlook: Calendar management, scheduling across time zones
- Word: Document formatting and compliance support
- Accuracy in data entry, reporting, and communication with internal and external stakeholders is critical.
Education and Experience
- H.S. Diploma or equivalent 2 years experience of previous related experience required
