About the Position
The Law Clerk position provides first and second-year law students the opportunity to work alongside Attorneys and Legal Assistants who represent clients in their parole hearings, as well as engage in legal research and writing projects. Law Clerks will also have the opportunity to learn about the discretionary parole process, California prisons, and the life cycle of individual journeys through incarceration and release.

The Law Clerk position is part-time (16-20 hours/week) over the quarter or semester calendar (at least 8 weeks). This position is unpaid and we support candidates to seek school credit, outside funding, and / or fellowship opportunities.
 
Examples of Duties and Responsibilities:

<li> Direct Attorney support: Drafting follow-up communications and/or consultations to clients; providing feedback on client writings; supporting Attorneys in the preparation of and attendance at legal phone calls; assembling Parole Packets to submit to the Board of Parole Hearings</li>
<li> Research &amp; writing: Researching and writing memos about legal issues impacting clients or related policy; reviewing case records and prison files; compiling housing, employment, and other support resources for incarcerated clients; drafting habeas petitions </li>

Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our global Legal team with a wide range of administrative and office support tasks. The ideal candidate will play a key role in maintaining efficient office operations, including handling communications, meeting scheduling, travel scheduling, document management, processing invoices and preparing meeting minutes.
 
Responsibilities:
General Administrative Duties-
 
· Provide comprehensive support to the Legal team by managing meetings, preparing agendas, assisting in amending agreements, and coordinating calendars.
· Facilitate clear and effective communication both internally and externally to ensure alignment and information flow across teams and outside counsel.
· Serve as the first point of contact for internal and external communications (phone, email, in-person).
· Maintain and organize office files, records, and correspondence.
· Schedule and coordinate meetings, appointments, and travel arrangements.
· Prepare and edit documents, reports, and presentations
· Process documents and signatures as requested internally and externally.
· Serve as the primary document courier logistic contact for the department 
 Prepare and provide DHL and UPS shipping labels, and monitor/track parcel courier for effective delivery management. 
 
Invoice Processing-
<ul>
<li>Receive, review, and process vendor invoices in a timely and accurate manner.</li>
<li>Match purchase orders, delivery receipts, and invoices for proper documentation.</li>
<li>Enter invoice data into the accounting or ERP system.</li>
<li>Monitor outstanding payments and follow up on discrepancies or missing documentation.</li>
<li>Work closely with the finance or accounts payable department to ensure timely payment and resolve issues.</li>
</ul>
Requirements:
 
<ul>
<li>High School diploma or GED required. Associate's or Bachelor's degree preferred.</li>
<li>3 - 5 years of experience as an Administrative Assistant.</li>
<li>Experience with invoice processing.</li>
<li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams) and office management systems.</li>
<li>Strong organizational and time-management skills.</li>
<li>Self motivated. </li>
<li>Attention to detail and accuracy.</li>
<li>Excellent verbal and written communication skills.</li>
<li>Ability to handle confidential information with discretion.</li>
</ul>
Preferred Skills:
<ul>
<li>Experience with accounting or ERP software (e.g., QuickBooks, SAP, NetSuite).</li>

Work schedule: 100% onsite Monday through Friday.
 
Hours: 8:00am - 5:00pm with a 1 hour lunch. 
 
Pay range: $23.63 to $25.00 per hour + bonus + benefits

The Legal Assistant primary responsibility will be to support the Legal Team in an administrative function. This role will assist the company’s in-house counsels in their preparation of and revisions to legal documents, including commercial leases and related documents, communicate frequently with internal departments as well as outside counsels, consultants, tenants, and vendors, and provide other legal support services.

Job Responsibilities:

<li>Assist with ensuring compliance with internal control procedures. </li>
<li>Assist Legal and other departments with transactions and maintain closing records.</li>
<li>Maintaining all legal records, including hard copies and electronic filings of legal documents and emails, and processing files for storage.</li>
<li>Manage and monitor Certificate of Insurance and endorsements with external tracking vendor. Follow up with property managers and tenants to remedy deficiencies.</li>
<li>Prepare insurance claim reports and work with insurance brokers to monitor status through closure of claims.</li>
<li>Process, track and update in-house counsel on all open litigation matters</li>
<li>Coordinate and document collection activities with outside counsel, collection agencies and property managers. </li>
<li>Coordinate with outside counsel on all monthly billing and invoices</li>
<li>General administrative duties include maintaining office calendar, answering correspondence and taking telephone calls.</li>

Qualifications:
 
· Bachelor’s degree preferred, not required
· 7+ years’ experience in legal administration support preferably with a real estate (law firm or corporate) practice group.
· Proficient in Microsoft Office, including advanced use of MS Word and Excel (including redlining, comparing documents, advanced formatting, etc.)
· Typing 65 WPM 
· Proven experience managing Certificate of Insurances and endorsements
· Experience with Yardi preferred, not required
· Excellent interpersonal skills and the ability to work closely with other team members
· Able to work independently and as part of a team in a fast-paced environment
